On-Site Scanning FAQ Sheet 


We have over 25 years of experience in the reprographics and imaging industry.  We understand what is necessary to capture information and transmit that information across media formats.

Department of Environmental Protection (DEP) on-site scanning



Client initiates records request. DEP provides case number and date for review


Client may either

  1. Visit site and indicate materials to be scanned

  2. Ask us to go and scan all documents.


Document Depot (DD) will:

Send a trained and experienced professional knowledgeable about working with files and scanning paper, digital, microfilm and microfiche files.

Provide portable scanner and laptop for data collection


The DD operator will interact with DEP personnel to get correct records, and will scan requested records.

   8.5 x 11 and 8.5 x 14 documents scanned directly

   11 x 17 documents will be scanned in 2 pages

   Larger maps—copies will be made at DEP and then be scanned back at our office.

   (Note: DD personnel will front cash and be reimbursed by client)

   Microfilm and microfiche—will be read at DEP and appropriate pages will be printed and scanned by DD personnel

Scans will be assembled, zipped, and delivered via file transfer service.


2020 charges (subject to change)

   Site fee: $125

   Scanning fees: $0.15 per b/w page (8.5 x 11)

   Map Fee: $5.00 + $1.00 per square foot.

   Microfilm pages: $0.50 per page


All charges payable before delivery of files.
